The Role:
The RPM & Support Lead serves as the primary liaison between Event Citadel and its clients while also providing leadership and support to the Registration Project Manager (RPM) team. This role is responsible for delivering exceptional client service, overseeing registration project execution, and ensuring adherence to Event Citadel processes, quality standards, and testing procedures. In addition to managing assigned events, the RPM & Support Lead provides ongoing guidance to RPMs, including coordinating and conducting weekly 1:1 meetings to monitor progress, offer support, and ensure project consistency across the department.
Key Responsibilities:
Processes, Procedures & Quality Control
- Follow all Event Citadel-defined event processes and adhere to company testing standards and escalation procedures.
- Ensure all billable service work aligns with the sales contract; obtain supervisor approval for any out-of-scope work before quoting.
- Create comprehensive test batches reflecting all business rules (registration types, codes, options, web services, etc.).
- Develop and maintain a Production Specification Manual (PSM) for each assigned event.
- Order and track all required show materials.
- Work collaboratively with the show team to build event databases and websites.
- Partner with the onsite team to design registration layouts and determine equipment requirements.
- Travel to events and client meetings as needed.
- Maintain accurate and timely entries in the EZLabor time recording system.
Leadership & Team Support
- Serve as a strong client advocate, ensuring timely delivery, accuracy, and outstanding customer service.
- Provide clear leadership, direction, and guidance to both your assigned show team and the broader RPM group.
- Coordinate, schedule, and lead weekly 1:1 meeting with RPMs to review workload, offer support, ensure process alignment, and address challenges proactively.
- Lead client and internal project meetings to gather requirements, document needs, and identify solutions aligned with Event Citadel processes and best practices.
- Collaborate with internal technical teams to analyze client requirements and contribute to the development and communication of custom registration solutions.
Expectations:
- Achieve full self-sufficiency within nine months, requiring minimal supervisor support.
- Develop deep knowledge of the PSM and understand how its components connect across departments.
- Maintain a broad and detailed understanding of the full registration life cycle.
- Escalate issues promptly that may impact Event Citadel’s ability to deliver exceptional service.
- Notify leadership if an event encounters significant concerns; such events may be placed on high alert.
- Build strong client relationships and recommend solutions using Event Citadel’s available products and capabilities.
- Respond to client inquiries quickly and professionally.
- Request supervisor assistance when appropriate.
- Understand all RPM responsibilities and how they integrate with cross-functional team roles.
- Stay current on new Event Citadel products, updates, and service offerings.
- Perform other duties as assigned.
